Job Title: Part Time Secretary
Location:Kenilworth
Rate:£20K to £22,125 Per Year
Description: PART TIME SECRETARY

25 hrs per week - Monday to Friday, 12.30pm – 5.30pm. The flexibility to work extra hours when required, particularly to cover periods of annual leave for full time secretaries, is also required.

Salary: 21,000 - pro rata - dependent upon experience

Duties:
Answer telephones and direct calls;
Open post and deal with contents accordingly;
Entering new cases onto in-house database and opening case files;
Telephone clients;
Making travel arrangements;
Arranging inspections for fee earners;
Transferring and processing digital images from camera memory cards to CD and inserting them into documents;
Prepare invoices for clients, log information accurately, reconcile with monthly sales receipts received from Head Office and file information into case files;
Handling and replying to e-mails;
Audio and copy typing;
Filing and archiving of cases files;
Parcelling and dispatching test samples and exhibits;
Dealing with fee earner expense paperwork;
Deal with sensitive information in a professional manner;
Maintenance of spread sheets;
Ordering and maintaining stocks of stationery, personal protection equipment, laboratory equipment and general office items;
Maintaining records of exhibits using in-house database, performing an annual review of exhibits stored and auditing the exhibits stored;
Collate and bind site inspection folders;
Monthly consolidation of petty cash, cheques, Anglo orders and fee note register;
Weekly fire alarm check and monthly photocopy machine check;
Arrange collection of overalls by independent cleaning company and distribute on return to the office;
Maintain workshop (this involves general tidying, sweeping floors, and keeping stock up to date);
General office administrative tasks;
Most duties are shared with the other secretaries but a general understanding of each other’s roles is required.

Personal Attributes:
Numerate and computer literate with a working knowledge of Word and Excel;
Ability to adapt to changing office needs and learn how to use in-house software;
To work within a team;
Self-motivated and able to work on own initiative;
Ability to prioritise and work under pressure and to deadlines;
Good telephone manner.
