Job Title: Information Support Assistant
Location:Lambeth
Rate:£16.00 Per Hour
Description: 1 To collect, collate and aggregate service activity information for local analysis, and for statutory planning and commissioning purposes.
2 To contribute to the development of new systems and procedures to improve the efficiency of the service, including developing, maintaining and operating systems for monitoring services.
3 To process and maintain referral, service activity and service user information on Mosaic and other appropriate systems that may be used.
4 To maintain any local filing systems in good order, ensuring that documents are filed accurately and in a timely fashion, including the efficient transfer and recording of paper files.
5 To undertake the scanning and indexing of case notes and correspondence to the relevant Mosaic case records and to assist in assuring the accuracy of the data.
6 To maintain the security and back-up of local information systems.



General Support



1 To provide a professional response to telephone queries. To deal with queries that may not be straightforward, and refer on as appropriate (escalating where necessary), ensuring that information is passed on accurately to relevant parties in a timely fashion.
2 To assess the correct response to contacts with social workers, clients and other members of the public when dealing with telephone queries and referrals, resolving issues that arise appropriately from a wide range of choices, making referrals to practitioners and signposting to other organisations where appropriate.
3 To prioritise and manage own workload and tasks in response to changing demands from practitioners, management and the public.
4 To exercise sound knowledge of social service provision and relevant services provided by external organisations when responding to queries from clients, other members of the public and other professionals.
5 To provide general administrative support, such as message taking, forms management, case file administration/storage/retrieval/destruction, and contribute to minute taking at team meetings and other panels as required.
6 To provide general office services such as post management, furniture/equipment/stationery/office supplies administration and assist with facilities management and site maintenance.
7 To provide reciprocal cover for other information support staff within the service as required.
8 To assist with arranging meetings and other events and provide occasional word processing support to social work Team Managers as necessary.
9 To participate and assist in the servicing of team meetings and the booking of venues as required.
10 To participate in service improvement projects as required.
