7.30am -3.30pm
8am - 4pm
9am - 5pm
10am - 6pm

Key Tasks

Meet and greet internal and external clients from other locations in a polite, friendly and efficient manner;
Deal with room bookings through the e-mail inbox;
Organise and facilitate room set ups before and after meetings to an acceptable standard ensuring equipment, refreshments and room layout is ready for the meetings (e.g. replenish crockery/move trolleys of food to and from meeting rooms/replenish flasks of hot drinks).
Liaise with catering suppliers to ensure a highly efficient catering service to staff and clients (includes putting all deliveries away and keeping area tidy);
Answering incoming calls in a prompt and professional manner and direct calls to the appropriate individuals and departments;
Receiving and distributing faxes (scanning them once received);
Clean and replenish coffee machine on a daily basis;
General housekeeping of the reception areas e.g. newspapers and magazines are up to date and tidy.
Ensure that supplies for meeting rooms are replenished as necessary.

Key Skills

The post holder must possess the following skills and experience:

A good basic IT knowledge of Microsoft packages including Word, Excel and Outlook;
Excellent communication skills both written and spoken;
Excellent organisational skills;
Maintain confidentiality at all times;
A good understanding of law practice procedures;
Work on own initiative and as part of a team;
Be flexible and adaptable to changing situations;
Able to take instructions well;
Punctual and reliable;
Totally client focused – proactive, high attention to detail, ‘can do’ attitude – nothing is too much trouble way of working.
