Job Title: Information Governance Administrator
Rate:£14.00 to £14.24 Per Hour
Description: Overall purpose of the post

Delivery of specific areas relating to ongoing projects and business as usual workload allocated to ensure a good quality service is provided, which will include the administration, creation and adaptation of information governance processes.

Provide information governance advice as needed to all stakeholders providing detailed knowledge and ensuring a good quality service is maintained.

Write and implement new procedures, for agreement by the Senior Information Governance Specialist(s) and the Deputy Head of Clinical Systems and Governance.

Principal responsibilities

1 Supporting the maintenance and development of electronic and paper based filing systems within the Information Governance Team ensuring compliance with Foundation Trust policies and best practice.
2 Supporting the Access to Health Records process through undertaking acknowledging, fielding and resolution of requests for access to information within statutory timeframes.
3 Producing word processed documents such as letters, reports etc. ensuring sensitive information is sensitively handled.
4 Handling telephone calls into the Information Governance Team, resolving calls and prioritising and handing on calls as and where appropriate
5 Working flexibly to provide senior administrative support to a range of short and medium term projects within the information Governance Team as necessary
6 Supporting the administration of large events, seminars and workshops. This may necessitate attending a variety of sites of provide support during the event.
7 Responsible for ensuring data is recorded accurately in order to maintain a high level of data quality across information governance recording systems in order to support reporting of activity for monthly highlight reports to the Board.
8 Monitors data input to Information Governance recording systems, where appropriate, to ensure validity and accuracy. Where exceptions occur, the post holder will be responsible for communicating with end users, documenting the communication for audit purposes.
9 Ensures all office equipment is working correctly, and that there are sufficient levels of office supplies, e.g. printer and toner cartridges, and paper.
10 Assists in the implementation and achievement of projects assigned to the team, from assisting with scoping, options appraisal, implementation, performance management and evaluation.
11 Assisting in the development of robust service improvement solutions with managers, through the analysis of data and/or other information sources. Also includes the implementation of policy within a specific area and proposing/contributing to policy development.
