Working Hours: 9am to 5.30pm (4.30pm finish on Fridays)
We are looking to recruit 2 Business Support Administrators for the new "Specialist Views of Others" Project. You will be required to support a new project within Service Placement Team (SPT). Role will be defined further as the project progresses, but x2 Business Support Administrators are required to manage receipt of e-mails from Care Providers requesting changes/amendments to Service User's packages, which will be overseen by a Senior Practitioner/OT.
As a new Team, it is likely that successful candidates will be required to assist set up relevant systems etc., so the ability to deal with constantly changing circumstances and assist in setting up new office systems are a must. Much of the work is completed by e-mail, using case-management systems such as Oscars and Spits (Access-based)(training given), so effective IT skills essential. The role will involve liaising with a wide range of individuals and assisting to resolve any issues which may arise, so effective customer service skills essential.

Accountabilities
• To work as part of a team providing proactive, efficient and effective secretarial and administrative support, taking the initiative, resolving issues, gathering information, filtering and screening calls and visitors, making formal appointments and meetings without reference to the managers/practitioners and ensuring co-ordination of diary movements
• To filter incoming telephone calls/emails using specialist, procedural and organisational knowledge, to either deal with the call/email personally or connect to the appropriate person in a timely manner and ensure they are informed of urgent/important developments
• To provide a high quality and efficient word processing service to a team of managers/practitioners, much of which will be of a confidential nature, and to organise and quality check own work
• To prepare correspondence and other documents from notes, dictation and/or other instructions, and collate supporting papers and reports
• To maintain the electronic diaries of managers/practitioners, to ensure that appointments are managed and booked appropriately, together with maintaining a “bring forward” system of relevant papers and reports
• To organise meetings, conferences and events by obtaining information from others, team working and negotiating
• To prioritise effectively to cope with changing priorities that occurs regularly
• To organise and attend meetings, prepare and distribute agenda and supporting papers, to take accurate and effective minutes, distribute as required and ensure that agreed outcomes are actioned by the relevant individuals
• To demonstrate effective communication and engagement with all service users and customers (internal & external) as well as other key stakeholders on daily business issues as well as future service solutions
• To maintain and develop confidential records and filing, both manual and electronic, to ensure efficient and effective storage and retrieval of information
• To undertake research, collation and analysis of information as required and agreed with managers/practitioners, including compilation of effectively presented reports as appropriate
• To liaise with a wide range of people at all levels both from within and outside of the County Council
Skills, Knowledge and Experience
• Well developed working knowledge of Microsoft Office applications is essential, including Word for Windows, Outlook, PowerPoint, Excel and Access
• Proven successful experience in a secretarial / administrative role
• Experience of effective working as a team member, and ability to liaise with a wide variety of people including managers, support colleagues and Members
• Experience of dealing with telephone enquiries, using own initiative
• Experience of operating effective data and information systems, including bring forward systems and progress chasing mechanisms
• Proven effective communication and interpersonal skills
• Above average keyboard skills desirable and use of electronic media and systems
• Ability to prioritise effectively
