Documents Services Manager
To keep the Document Services Manager informed of all relevant activities. To assist in the management of the account profitably to allow for future investment. Main Duties To assist the Document Services Manager in Operational Management 1. Manage the provision of services to the customer in line with agreed service levels and contract specifications. 2. To set, monitor and continually seek to improve customer service levels. 3. To liaise with clients/team members to agree, plan and organise production schedules. 4. To be aware of and maintain safe working practices related to Health and Safety and COSHH regulations. 5. To ensure systems are in place to certify job specifications, work instructions and other relevant information is checked and correct prior to production. 6. To organise and allocate outsourced overflow reprographic work in order to meet customer schedules. 7. To closely monitor volumes to ensure adequate resources are applied. 8. To ensure consumables are readily available and match specification in order to meet production schedules. 9. To maintain all convenience copiers related to the contract. 10. To maintain all operating facility services related to the contract 11. To provide technical support and advice to staff. 12. To ensure adequate maintenance of all equipment and machinery. 13. Ensure that all site employees comply with our client's procedures, processes and documentation 14. Operational completion of self client audits. 15. To undertake any reasonable as hoc duties as required. Business Planning 16. Ensure production of management information and KPI's for Head office. 17. Manage the production of management information for client contact(s). 18. To keep Document Services Manager informed of all new potential activities. Business Development 19. To plan and conduct client meetings in Document Service Managers absence. 20. Build and manage effective customer relationship with client contact(s). 21. Develop and share a sound understanding of customer's business with all site employees. 22. Identify opportunities for business growth and communicate these to Document Service Manager and Senior Management using the ‘Partnership for Progress' agreement. Quality Standards and Continuous Improvement 23. To ensure that total quality management controls are maintained throughout the various aspects of the site operation. 24. Ensure that the “Operations Manual”, along with relevant company procedural guides and documentation are in place and accessible to all staff. All staff have been briefed as to the contents of the Operations Manual. 25. Develop site specific procedure manuals with reference to the "Operations Manual”. 26. Manage and report on regular Customer Satisfaction Surveys undertaken. Implement and record the appropriate corrective action to resolve any identified performance or quality failures. 27. Ensure that all site employees understand the relevant Quality Standards set out in the “Quality process” and that compliance is regularly monitored. People Management and Development 28. Responsible for the day-to-day management of the reprographics and mail room teams. 29. Support recruitment activity on site and induct new employees when applicable. 30. Conduct regular performance reviews, set objectives and identify and monitor development programs for all reporting employees. 31. Coach, motivate and support direct reports and encourage them to meet and exceed agreed levels of performance and specified customer service levels. 32. Ensure that all staff are briefed and updated on the Business Objectives. 33. To lead by example demonstrating an enthusiastic and committed approach, and adopting a confident and assertive manner. 34. To ensure and cultivate a working atmosphere that engenders teamwork and commitment. 35. Ensure a consistent approach to attendance management targeting a reduction in “unplanned absence”. Financial Management 36. Assist to prepare shift and production reports for senior management, collate and check production data used in preparation for final job costings relating to outwork. 37.
